Required Forms

The I-9 Employment Eligibility Verification Form is required by the U.S. Citizenship and Immigration Services, who also stipulates the types of acceptable identification. Proper identification must be shown to a staff member of the Office of Financial Aid at the time of completion. A complete list of acceptable identification can be found on the 3rd page.

International students must have an un-expired passport with a I-551 stamp or attached INS Form I-94 and I-20 or an Alien Registration Receipt Card with photograph. The I-9 must be completed within 3 business days of your date of hire. The I-9 form has very specific directions and requirements and should be read carefully. The Office of Financial Aid staff must uphold federal requirements and cannot accept any document not specifically listed as acceptable by the government.

All forms of identification must be originals, copies of documents are not acceptable.

The Federal W-4 Employee's Withholding Allowance Certificate, directs Amherst College to withhold the correct Federal income tax from your pay. Please be aware of the federal income tax withholding rules as they may apply to your situation.

The Massachusetts M-4 Employee's Withholding Exemption Certificate directs Amherst College to withhold the correct State income tax from your pay. Both forms must be read carefully, filled out completely, and signed by the student.

The Foreign National Information Form provides Visa and Immigration information required in the process.

You are encouraged to take advantage of the FREE direct deposit service available to all employees. Students who have direct deposit set-up will be able to view their earnings and withholding information via AC Data. For more information on the process please visit https://www.amherst.edu/offices/controller/spayroll Funds will be electronically transferred to a bank account of your choice at the opening of business on each bi-weekly payday.

Paper copies of the I-9, W-4, M-4 and the Foreign National Information forms are also available in the Office of Financial Aid, B-5 Converse Hall.

Once you have completed the employment documents please schedule a short appointment with Nancy Robinson in the Office of Financial Aid. You must bring the completed forms listed above along with:

  • Current Passport and /or Visa
  • I-20AB form
  • I-94 form
  • Social Security card or the Receipt for Application for Social Security Number if your S.S. Number has yet to be received
