Amherst College has transitioned to an online scheduling system, known as EMS Webapp to process requests for most classrooms, lecture halls, and meeting and event spaces. To browse for available rooms and submit a request, please log into the system with your Amherst College username and password. Once logged in, click on the create a reservation menu and select the subcategory that you are interested in booking. If the space you are looking for is not listed in the system, please refer to the guide below which provides contact information for all reservable spaces. If you don’t have a specific room in mind, use the “Browse for Space” feature in Virtual EMS.

To access the EMS Webapp:

  • Use your Amherst.edu username (for example “jdoe”) and password
  • Have “Amherst” selected as the domain

Academic Classrooms and Lecture Halls

Requests for classrooms and lecture halls that are not managed by a specific department (i.e. labs or special classrooms) can be submitted in EMS Webapp. Click on Create a Reservation. The Registrar’s Office and Conferences & Special Events work in conjunction to process these spaces based on the timing of a requested event:

  • Registrar's Office processes requests to use a classroom or lecture hall Monday through Friday between 8 a.m. and 4 p.m. during the academic year.
  • Conferences & Special Events processes requests to use a classroom or lecture hall Monday through Friday after 4 p.m. and on weekends during the academic year, as well as any request during the summer.

Alumni House

Requests for the Alumni House can be submitted in EMS Webapp and are processed by Conferences & Special Events. Click on the reservation menu labeled “Alumni House.”

Arms Music Center

Requests for Buckley Recital Hall can be submitted to Alisa Pearson in the Music Department (please note the guidelines on the Music Department website). Requests for a Music Practice Room can be submitted in EMS Webbapp (click on the reservation menu labeled “Music Practice Rooms”). Requests for any other space in the Arms Music Center, including classrooms and lab spaces, can be submitted to Cindy Dumais-Holubowich To gain access to the music practice spaces in James, Stearns and Hitchcock Residence Halls, please contact the Office of Student Engagement and Leadershipand visit the Keefe Campus Center to complete the required paperwork.

Athletic Fields and Spaces

Requests for an athletic field or any space within an athletic complex, including Middleton Gymnasium, Coolidge Cage, LeFrak Gymnasium, Conway Field House, Orr Rink, etc., should be emailed to Gregg DiNardo’01 in Athletics.

Beneski Museum of Natural History

To submit a request for Paino Lecture Hall, please see the section Academic Classrooms and Lecture Halls above. To book a department conference room or space, please contact Diane Hutton, the Academic Department Coordinator for Geology.

Cadigan Center

Requests for the Cadigan Center can be emailed to Cindy Dumais-Holubowich in Religious and Spiritual Life.

Chapin Hall

Requests for Chapin Chapel and the John Pemberton III Lounge can be submitted in the EMS Webapp and are processed by the Department of Religion. Click on the reservation template menu “Chapin Hall.”Requests for the Halsted Lounge can be submitted in EMS Webapp and are processed by the History Department. Converse Hall

Requests for Porter Lounge can be submitted in EMS Webapp and are processed by Conferences & Special Events. Click on the reservation menu labeled “Classrooms and Lecture Halls.” To submit a request for Cole Assembly Room please see the section Academic Classrooms and Lecture Halls. To book a department conference room, please contact the administrative position for the applicable department.

Fayerweather Hall

To submit a request for Pruyne Lecture Hall or a classroom within Fayerweather Hall please see the section Academic Classrooms and Lecture Halls. To book the Eli Marsh Gallery or an art studio, send an email to finearts@amherst.edu.

Ford Hall Event Space

Requests for the Ford Hall Event Space can be submitted in EMS Webapp and are processed by the Office of Student Activities during the academic year and Conferences & Special Events during the summer. Click on the reservation template menu “Student Activities Engagement Spaces”

Frost Library

Requests the Collaboration Lab, Kesselhaut Room or Open Access Conference Room can be submitted in EMS Webapp (click on the reservation menu labeled “Frost Library Meeting Rooms”). Requests for study rooms can also be submitted in EMS Webapp (click on the reservation menu labeled “Frost Library and Science Center Study Rooms”).

Johnson Chapel

Requests for Johnson Chapel can be submitted in EMS Webapp and are processed by Conferences & Special Events. Click on the reservation menu labeled “Classrooms and Lecture Halls.” For information on how to reserve the classroom in Johnson Chapel, see the section Academic Classrooms and Lecture Halls. To book the Bruss Room, send an email to Julie Howland, Academic Department Coordinator for the English Department.

Keefe Campus Center

Requests for the Friedman Room and theater can be submitted in EMS Webapp and are processed by the Office of Student Engagement and Leadership during the academic year and Conferences & Special Events during the summer. Click on the reservation menu labeled “Student Activities Engagement Spaces.”

Loeb Center for Career Exploration and Planning

The Loeb Center for Career Exploration and Planning schedules or monitors all recruiting and career focused events on campus, and processes requests for the Loeb Center conference room located in College Hall.

Mead Art Museum and Stirn Auditorium

To submit a request for Stirn Auditorium please see the section Academic Classrooms and Lecture Halls above. To book the Mead Art Museum or Rotherwas Room, send an email to Victoria Nardone, Financial and Administrative Assistant for the Mead Art Museum.

O’Connor Commons

Requests for the O’Connor Commons (located in Charles Pratt Residence Hall) can be submitted in EMS Webapp and are processed by the Office of Student Engagement and Leadership during the academic year and Conferences & Special Events during the summer. Click on the reservation menu labeled “Student Activities Engagement Spaces.”

The Octagon

The Babbot Room, located on the second floor, is an academic classroom. For information on how to reserve a classroom see the section Academic Classrooms and Lecture Halls.

Powerhouse

Requests for the Powerhouse can be submitted in Virtual EMS and are processed by the Office of Student Engagement and Leadership during the academic year and Conferences & Special Events during the summer. Click on the reservation menu labeled “Student Activities Engagement Spaces.”

Quadrangles and Outdoor Spaces/Tents

A limited number of tents are available for fall 2021. To view details for available tents, use the “Browse for Space” feature and filter by the room type “Tent”. Requests for tents can be submitted in EMS Webapp and are processed by Conferences & Special Events, the Registrar's Office or Office of Student Activities depending on which tent is requested and when the tent will be used.

Requests for quadrangles can be emailed to Heidi Kellogg, Supervisor of Event Support Services. Requests for the Keefe Campus Center Fire Pit can be submitted in EMS Webapp and are processed by the Office of Student Engagement and Leadership. Requests for the outdoor grills near Wieland can be emailed to studentactivities@amherst.edu.

Residence Halls

Lobbies, common spaces, and outside areas of residence halls must be requested through the Community Development Coordinator associated with the residence hall that you are seeking to use. Please note that these requests will be vetted to the residence hall community before approval. The scheduling of residence halls during the summer is managed by Conferences & Special Events. If a residence hall is utilized by a summer conference or program, spaces within the building are not available for faculty, staff and students.

Science Center

Requests for the North Commons, Living Room, or cafe seating area can be emailed to Jess Martin, Administrative Director of the Science Center. To submit a request for Lipton Lecture Hall and/or the Kirkpatrick Lecture Hall, see the section Academic Classrooms and Lecture Halls. To book a department conference room or lab, please contact the administrative position for the applicable department. To book computer lab A131 and A331 please contact Leena Valge, Requests for the study space can be submitted in EMS Webapp and are processed by Frost Library (click on the reservation menu labeled “Frost Library and Science Center Study Rooms”).

Seeley Mudd

Requests for classrooms in Seeley Mudd can be submitted in EMS Webapp and are processed during the academic year by Kathy Glista, the Academic Department Coordinator for Computer Science and Mathematics, and Conferences & Special Events during the summer (click on the reservation menu labeled “Classrooms and Lecture Halls”). To book a department conference room or lounge, please contact the administrative position for the applicable department. To book computer lab 115 or the audio production lab, please submit a request using AskIT.

Theater and Dance Spaces

Requests for Studios 1, 2 and 3 in Webster Hall can be emailed to Ryan O'Donnell  Academic Department Coordinator for Theater and Dance. Requests for Kirby Theater and Holden Theater can be emailed to Jon Doyle, Technical Director for Theater and Dance. Please note the guidelines on the Theater and Dance website.

Valentine Dining Hall

Request for Terrace Room A and/or B and the tabling spaces in the atrium can be emailed to valentine@amherst.edu. Requests for the Lewis-Sebring Dining Common, Mullins Room, or Faerber Room can be emailed to Meagan LaClair in Dining Services.
