Financial reports for all college departments and projects prior to Workday are available via the web.  This document explains how to access and use the interactive reporting tools.

The Financial Reporting Suite is located at https://www.amherst.edu/go/financereports (VPN required)

When you access the above address, you'll be prompted to enter your Amherst username and password.  NOTE: You must be behind the VPN firewall in order to access the reports.  Instructions for installing the VPN are available on the IT website.

Once logged in, you'll be presented with a list of all available reports with historical data from pre-2021:

  • Departmental Expenses (and summary view)
  • Reserves/Funds Held in Trust
  • Restricted Funds
  • Faculty Research, Grants & Other Projects

The data displayed on each report is determined by security parameters maintained by the Finance Office.  If selecting a report returns the message "Permission denied...", you have not been set up with access to any accounts of that type.  If you feel you should have this access, or you are missing accounts you believe should be included, please refer to the contacts listed in the Questions section at the bottom of this page.


 Departmental Expenses (and Reserves/Funds Held in Trust)  Note: the selection controls for these reports are similar and therefore the instructions are combined with reserves in ().

You specify the department (reserve) you want to view—and the report format—using the controls at the top of the report:

Select department (reserve): If you are authorized to see more than one departmental budget or reserve, use the drop down to select from the list.  Once you’ve clicked on the drop down, the cursor appears in an input box where you may key any part of a department number or alpha string to narrow your results.

Select report period: You can choose to create a year-to-date (YTD) report, a report concerning a specific month of a fiscal year that isn't yet closed out, or a report of a closed fiscal year back to FY2002.

View Summary Only: If you check this box, your report will not include detail about specific expenses but only subtotals and totals.

Display lines with no activity: By default, lines with no budget or transactions will be hidden.  To display all lines, check this box.

Download expense csv: This will produce a .csv file of all transaction details which can be opened in Excel or any compatible program.  Note that even if you select View Expense Summary, the .csv will only contains details of whatever Reporting Period you've selected. The .csv never includes budget information, subtotals, or totals.

View Expense Summary: (This option is not yet available for reserves) Provides a summary by department with subtotals by program.  Can also be accessed from a link on the dashboard.

Additional tip: As you scroll down a page, note that a return to top button appears at the bottom right of the screen.


Restricted Funds

You determine the project you want to view—and the report format—using the controls at the top of the report:

Select Project: If you are authorized to see more than one project account, use the drop down to select from the list.  Once you’ve clicked on the drop down, the cursor appears in an input box where you may key any part of a project number or alpha string to narrow your results.

Select Report Period: You can choose a fiscal year and end date within that year.

Download expense csv:  This will produce a .csv file of all transaction details which can be opened in Excel or any compatible program.  The .csv never includes budget information, subtotals, or totals.   Users can then save that file as a native Excel (.xls) file.  While the downloaded file does not inherently possess the “totals” that are contained within the on-line report, those formulas can be easily added by the user.

View Options:  Each project report has 3 view options.  Select the desired radio button to switch between these views.

Summary presents a summary of the project revenue, expenses and transfers by item code and includes a beginning and ending balance for the fund. 

Summary with Accounts adds subtotals by account.

Detail adds detailed transactions for the project, including the check number where applicable. 


Faculty Research, Grants and Other Projects

You determine the project you want to view—and the report format—using the controls at the top of the report:

Select Project: If you are authorized to see more than one project account, use the drop down to select from the list.  Once you’ve clicked on the drop down, the cursor appears in an input box where you may key any part of a project number or alpha string to narrow your results.

Select Report Period: You can choose a report period depending on how the project is set up.  If the project has an annual budget, the user may select a particular fiscal year; with other accounts, such as outside grants or restricted funds, only one reporting period may be available. 

Or Select Report Expense Dates: Allows you to define exactly the date range you wish to include.  Input the dates and click on the green selection button.
