Tasks for Preparing and Extending an Employment Offer
The selection of the final candidate is made by the Hiring Manager/Supervisor or Search Team in consultation with the Office of Human Resources (OHR).
Reference Checks
Completed by Hiring Manager / Search Team
Only professional and business references are acceptable. This would include the candidate's immediate supervisor, manager, owner of a business, etc. Personal references such as a co-worker, colleague, or friend are not acceptable.
The candidate will receive a message asking them to provide the name and contact information for three professional references. The Hiring Manager will receive an email when this has been completed.
A summary of references must be forwarded to OHR for review prior to an offer of employment.
Hiring Managers will reach out to the current supervisor of internal candidates being considered.
Employment Offer
Completed by Hiring Manager / Search Team after discussion with OHR
Before an offer of employment is extended to the finalist, OHR must be consulted about salary recommendations, benefits, confirmation of on-site/remote/hybrid options, and appropriate start date (this must be at least three business days in the future).
An employment offer (usually verbal or via email) can then be made by the Department Head/Supervisor, a designated member of the Search Team, or OHR.
Upon acceptance of an offer, the Department Head/Supervisor, or a designated member of the Search Team will enter the finalized details (specifically the start date, rate of pay, and any additional one-time payments) in Workday. Workday will generate an appointment letter including a benefits addendum.
The Hiring Manager must contact OHR with the name of the new employee and if any additional offers had been made.
Pre-Employment Physical (if applicable)
Scheduled through OHR
Pre-employment physicals will be required for employees exposed to potential hazards such as extensive physical and/or lifting activities, workplace hazards, etc. The pre-employment physical is arranged by OHR and the results are maintained in a confidential medical file.
CORI Check (if applicable)
Completed by OHR
Any new employee whose position will have unsupervised access to student dorms will be required to complete a CORI check in the recruitment process. OHR will conduct this check and the results are secured in a confidential/locked file in OHR.
