Contact Information for Room Reservations

Reserving rooms and space at Amherst College is done through a variety of departments, depending on the time of year, time of day and the type of space needed. Please reference the information below when submitting a request for space on campus.

General Reservations

Paula Mieczkowski in Conferences & Special Events processes requests to use academic classrooms Monday through Friday after 4 p.m. and on weekends. In addition, Paula processes requests for the Porter Lounge in Converse Hall (except during the summer) and requests for Johnson Chapel and the Alumni House.

Academic Classrooms

Lillian Mosgofian in the Registrar's Office processes requests to use academic classrooms Monday through Friday between 8 a.m. and 4 p.m. during the academic year.


Contact Information for Other Space Requests

Arms Music Center

Alisa Pearson in the Music Department reserves Buckley Recital Hall. Suzette Farnham processes requests for the rest of the Arms Music Center. To gain access to the practice spaces in James, Stearns and Hitchcock Residence Halls please visit the Office of Student Life, Keefe Campus Center room 018 to fill out an access form.

Athletic Space

Gregg DiNardo in athletics manages requests for Athletic Fields and the Athletic Complex throughout the year.

Loeb Center for Career Exploration and Planning

The Loeb Center for Career Exploration and Planning schedules or monitors all recruiting or career focused events on campus and processes requests for the Loeb Center conference room.

The Octagon

The Office of Student Activities processes request for the Gerald Penney Center, located on the first floor of the Octagon, during the academic year. To reserve the Gerald Penney Center please submit a request within Virtual EMS. During the summer the Gerald Penney Center is reserved by Christina LaDue in the Summer Programs office.

The Babbot Room, located on the second floor, is an academic classroom that is reserved during the acadmic year by Lillian Mosgofian Monday through Friday from 8 a.m. to 4 p.m. and Paula Mieczkowski Monday through Friday after 4 p.m. and on weekends. During the summer the Babbot Room is reserved by Christina LaDue in the Summer Programs office.

Outside Event Spaces

To reserve quadrangles or outside spaces (except for athletic space) please contact Heidi Kellogg in facilities and special services.

Powerhouse and Ford Hall Event Space

Monica Soto processes requests for the Powerhouse and Ford HAll Event Space. Reservations may not be submitted more than 60-days in advance of the requested date(s). To request the Powerhouse or Ford Hall Event Space please submit a reservation request within Virtual EMS.

Religious Spaces

Anne Torrey in the Department of Religion processes requests for the Chapin Chapel and the John Pemberton III Lounge. To request the Chapin Chapel or the John Pemberton III Lounge please submit a reservation request within Virtual EMS. Requests for the Cadigan Center are processed by Cindy Dumais-Holubowich.

Residence Halls

Lobbies, common spaces, ballrooms and outside areas of residence halls must be requested through the Resident Counselor(s) associated with the residence hall that you are seeking to use. Please note that these requests will be vetted to the residence hall community before approval.

Science Center Living Room and North Commons

To reserve the North Commons, Living Room or cafe seating area, please contact Jess Martin, Administrative Director of the Science Center.

Seeley Mudd Classrooms, Lounge and Basement Level Lab

Tracie Rubeck from the Computer Science and Mathematics Departments books the lower level lab, 014 throughout the year. She books the Seeley Mudd 2nd floor classrooms and lounge space for evenings, weekends and holiday breaks during the academic year.

Student Life Meeting & Event Spaces

The Office of Student Life oversees a variety of meeting and events spaces including the Keefe Campus Center, the O'Connor Commons (located within Charles Pratt Dormitory), the Powerhouse, the Ford Hall Event Space, and the Gerald Penney Center during the academic year. To reserve one of these spaces please submit a reservation request within Virtual EMS.

Summer Programs

The Summer Programs office (Conferences & Special Events) processes requests for all academic classrooms and meeting and event spaces from early June until mid-August with the exception of Johnson Chapel, the Alumni House, the Arms Music Center, religious life spaces, theater and dance spaces, and select acadmeic spaces. Please submit all requests to Christina LaDue.

Technology Space

E-mail AskIT to book lab space in Seeley Mudd and Merrill Science 215.

Rooms can be booked by telephone or by e-mail and are assigned on a first-come, first-served basis. Your voicemail has a time stamp, as does your e-mail, to avoid conflicts about who issues requests when.

Theater and Dance Spaces

Suzie Rivers processes requests for studio 1, 2 and 3 in Webster Hall. Requests for Kirby and Holden Theaters should be submitted to Jon Doyle per the guidelines listed on the Theater and Dance website.

Valentine Dining Hall

To submit a request for Valentine Hall Terrace Room A and B and the small conference room please e-mail Rebecca Hurlburt. To submit a request for the Lewis-Sebring Dining Common, Mullins Room and Faerber Room please email Meagan Champoux. To submit a request for the atrium spaces please email valentine@amherst.edu.
