Introduction

How to backup your Amherst email from the server to your hard drive using Outlook

Instructions: 

Outlook lets you move mail from the server to Personal Folders on your hard disk. If you don't see Personal Folders in your folder list (click Folder List in the View menu if you can't see your folders) then you need to activate this feature. 

Creating Personal Folders in Outlook 2010
  1. In Outlook, click the orange File tab in the menu.
  2. Click Account Settings and from the drop-down list choose Account Settings.
  3. Click the Data Files tab, then click Add (the icon is an envelope and file cabinet).
  4. Browse to the location on your hard disk where you want to store your mail messages, then give the file a name (e.g., mymail.pst) and click the Open button.
  5. Give the Personal Storage Folder a name, password protect it if you wish, and click OK.
  6. In your folder list you will now see Personal Folders.
Creating Personal Folders in Outlook 2007
  1. In Outlook, click the Tools menu and choose Account Settings.
  2. Click the Data Files tab, then click the Add button.
  3. Browse to the location on your hard disk where you want to store your mail messages, then give the file a name (e.g., mymail.pst) and click the Open button.
  4. Give the Personal Storage Folder a name, password protect it if you wish, and click OK.
  5. In your folder list you will now see Personal Folders.
Creating Personal Folders in outlook 2003 
  1. In Outlook, click the Tools menu and select Services.
  2. In the Services window click Add and select Personal Folders from the list. Browse to the location on your hard disk where you want to store your mail messages, then give the file a name (e.g., mymail.pst) and click the Open button.
  3. From the next window, select No Encryption. You can also elect to password protect the file. Click OK, and then OK again to exit the services window.
  4. In your folder list you will now see Personal Folders.

To move a mail message from your Mailbox to Personal Folders, simply drag the message to the Personal Folders icon. This also works with multiple messages or with entire folders. Alternately, you can right-click on a message, group of messages, or folder and select Move to Folder. From the list of folders that comes up, select Personal Folders.
