IT Replacement Cycle
We provide one IT replacement cycle computer per eligible postion. Senior Staff positions may have two IT replacement computers. We do not provide Windows for Apple computers. Computers stay with the position and do not follow individual employees. The computer replacement cycle for eligible positions is every four years. Early, out of cycle replacements not due to hardware failure will incur a cost of the value remaining on the computer. Monitor replacement cycles will differ depending on type of monitor. When a computer is replaced, the old computer must be returned to IT. Computer equipment is not available for purchase.

The links for configurations below are available to faculty and staff for requesting IT Replacement Cycle College-owned computers and accessories. Specifications are subject to change without notice, based on inventory and availability from suppliers.

You may also use the links below to request additional computer equipment using department, faculty, grant or other college funds. When purchasing computers that are in addition to replacement cycle computers, please make a note of that when making the request and include an account number to cover the costs.

  • Our current standard laptop models have 256GB solid state (SSD) hard drives. The Dell All-in-One and iMac desktops are configured with 1TB SSD hybrid hard drives.
  • For any laptop, you may request an external display (also known as monitor), keyboard and mouse at no charge.  Displays larger than 24-inches or additional displays will require contribution of startup or research and travel funds (Faculty) or department contribution (Faculty or Staff) only at the department's discretion. Prices provided below.
  • If you would like another physical size computer, larger hard drive, upgraded processor, additional RAM or upgraded graphics card, use the link below closest to what you want and note the specifics when making the request.

Due to security, software, printing, and calendering requirements, we recommend and may need to require Windows computers for most staff for the following Administrative deparments:
Admission, Advancement all groups, Career Exploration and Planning Loeb Center, Center for International Student Engagement, Chief Finanical Officer, Controller, Dean of the Faculty, Design and Construction, Facilities, Fellowships, Financial Aid, Health Services, Institutional Research, Library, Mead Art Museum security and staff who need to use MIMSY for museum images, Office of Communication Athletics Communication, Office of Communication Conferences & Special Events, Police, Registrar, Rental Properties, and Student Affairs.

Faculty must use the request forms to indicate their choice of Replacement Cycle computer. Replacement Cycle computers for staff are determined by their department based on their position and work requirements. Designated members of departments should submit the forms for their staff.

Optional Upgrades

Every year, IT purchases computers in volume in anticipation of the replacement cycle computers. This allows the College to leverage its purchasing power. The configuration for the computers included in the volume purchase, listed above, are well above industry standard and minimum requirements for today's computing requirements.

We will need to procure a new computer from the manufacturer for any of the optional upgrades listed below, so departmental, research, or startup funds need to cover the entire cost of the purchase as this would be an additional purchase for the College within the fiscal year, and the cost will be significantly more than the cost paid during the volume purchase. Any upgrades require a new purchase since the computers in stock cannot be upgraded. Many internal components in modern computers can no longer be upgraded since they are soldered into the motherboard.

A computer that is part of the replacement cycle and has specs beyond the standard specs will be replaced for the same or similar specs under the replacement cycle and costs will be covered through IT.

Please allows 2-3 weeks for delivery of a custom computer. Delivery times are affected depending on the time of the year and unexpected delays from suppliers.
