Amherst College has partnered with Travel Incorporated to provide an online Travel Portal for booking flights, rail, hotels, and rental cars when traveling on behalf of the College. If employees prefer, they may also call or email the travel agency for direct bookings.

The portal features the ability to pay for most travel expenses up front, so that employees do not have to place these travel expenses on their personal cards. Charges will still need to be reconciled in Workday but there would be no need for reimbursement.

Other benefits of using the portal are: Travel Inc provides around the clock support for travelers, the tool can inform employees regarding travel policy selections, employees can still accrue points via their frequent flyer/membership numbers, and the tool can be used to book travel for guests traveling on behalf of the College. It may be best to call or email the travel agent for international or group bookings.

To use the portal, you must have a completed profile on the system.

How do I access the Travel Portal?

Your profile will be automatically created for you however,  if you are a first-time user, you will first be taken to a page to verify and complete required profile fields. The required details are:

  • Name as reflected on your government issued ID
  • Gender
  • Date of birth
  • Password (only required to set one but then SSO will be used for logins)
  • Office and mobile phone numbers
  • Business address

You are able to update your personal, preference, contact, membership, and passport details.

How do I place charges on the College’s card?

The College's ghost travel card is the default option in the Travel Portal. Personal cards can be uploaded but are not required. When finalizing your travel selections on Concur you can select which card to charge, otherwise it will default to the College card.

What are Travel Selection Warnings?

This option triggers one or more company travel rules. We will log this choice if you choose to purchase it.

When booking travel, you may receive  a  warning if a selection is made that is not consistent with the College’s Travel Policy. The warning does not prevent your booking from being accomplished and you will be able to provide rational for the selection. Also, your supervisor will be alerted to the warning.
